This is a 6-month contract, with a possible transition to full time.

Job Summary:

We are seeking a detail-oriented and experienced Finance Administrator to join our team. The Finance Administrator will be primarily responsible for verifying subcontractor invoices and ensuring accurate and timely payments. Additionally, the role will involve assisting with various general accounting tasks, including billing, financial reporting, and other ad hoc duties. The ideal candidate will have a strong background in accounting, preferably holding an accounting diploma, along with a few years of relevant work experience. This position reports to the Director of Finance.

RESPONSIBILITIES:

Subcontractor Invoice Management:

  • Verify and reconcile subcontractor invoices, ensuring accuracy and compliance with company policies.

  • Coordinate with account managers, billing team and other relevant stakeholders to validate invoice details and resolve discrepancies promptly.

Payment Processing:

  • Process subcontractor payments accurately and in a timely manner, adhering to payment schedules and terms.

  • Collaborate with the accounts payable team to ensure the seamless execution of payment transactions.

Invoice Tracking and Reporting:

  • Maintain a comprehensive tracking system for all subcontractor invoices, payments, and related financial documentation.

  • Generate regular reports summarizing financial data related to subcontractor activities for management review.

Vendor Relationship Management:

  • Cultivate positive relationships with subcontractors to facilitate efficient communication and issue resolution.

  • Address payment inquiries and provide relevant information to subcontractors in a professional and timely manner.

Compliance and Documentation:

  • Ensure compliance with financial regulations and company policies in all subcontractor's financial transactions.

  • Maintain accurate and organized financial records, ensuring proper documentation for audit purposes.

General Accounting Tasks:

  • Collaborate on a variety of accounting activities, including but not limited to billing, accounts receivable, financial reporting etc.

  • Assist in month-end and year-end financial closing activities.

Cross-Departmental Collaboration:

  • Collaborate effectively with other departments to resolve accounting-related inquiries and support organizational objectives.

  • Provide support during internal and external audits, facilitating audits by compiling relevant documentation and addressing auditor queries.

Qualifications:

  • Bachelor's degree in finance, accounting, or a related field.

  • Proven experience in finance administration

  • Proficiency in using financial software and MS Office, and advanced Excel skill s.

  • Excellent communication and interpersonal skills.

  • Exceptional attention to detail and accuracy.

  • Ability to work independently and collaboratively in a fast-paced environment.
